2. What Information We Collect

General Information

In the course of providing our services and operating our website, we may collect the following personal information:

  3. session notes and records created by us during and after coaching sessions;
  4. audio and/or video recordings of coaching sessions, where you have given explicit consent;
  5. messages exchanged via WhatsApp or other messaging platforms as part of your coaching package; and
  6. scheduling information provided through our booking system.

Technical and Website Information

When you visit our website, we may automatically collect:

  1. the name of the domain from which you access the internet;
  2. your IP address and browser type;
  3. the date, time, and duration of your visit;
  4. the pages you viewed and links you clicked; and
  5. the website from which you linked to our site.

3. Birth Data for Coaching Tools

Certain coaching tools we use, including Human Design, require your date of birth, time of birth, and place of birth to generate a personalised chart. We want to be transparent about how this information is handled:

  1. Provision of birth data is entirely voluntary. If you do not wish to provide this information or do not have access to it, we will use alternative coaching tools to support your engagement.
  2. Birth data will be used solely for the purpose of your coaching engagement and will not be used for any other purpose.
  3. Birth data will be stored securely in accordance with this policy and will not be shared with third parties except as required to generate your chart (e.g. through a Human Design chart generation tool).
  4. You may request deletion of your birth data at any time by contacting us.

4. Why We Collect Your Information

We collect and use your personal information for the following purposes:

  1. to provide and deliver our coaching services, programs, webinars, and digital content;
  2. to manage bookings, scheduling, and session logistics;

5. Coaching Session Records and Recordings

Session Notes

We keep written and electronic notes relating to coaching sessions for the purposes of providing continuity of service and meeting our professional and legal record-keeping obligations. Session notes are confidential and stored securely.

Session Recordings

Where you have provided explicit consent, coaching sessions may be recorded (audio and/or video). Recordings are used for:

  1. our professional development, self-review, and coaching supervision; and
  2. providing you with a copy for your personal reference, if requested.

Recordings will not be published, shared externally, or used for marketing or promotional purposes without your separate, explicit written consent.

Recordings are stored securely on Google Drive with access limited to the Coach. Recordings are retained for the duration of the coaching engagement and for up to 7 years following completion, after which they will be securely deleted.

You may withdraw your consent for recording at any time, which will apply to future sessions only. You may also request deletion of existing recordings by contacting us.

WhatsApp Communications

Where your coaching package includes WhatsApp support, messages exchanged via WhatsApp are subject to Meta’s (WhatsApp’s parent company) own privacy policy and data handling practices. We do not control how Meta stores or processes WhatsApp data. We recommend reviewing WhatsApp’s privacy policy at https://www.whatsapp.com/legal/privacy-policy.

6. Cookies and Analytics

Our website uses cookies — small files stored on your device — to improve your experience and help us understand how our site is used.

We use Google Analytics to collect anonymised data about website traffic and usage patterns. Google and other third parties may collect data about visits to our site via advertising cookies and identifiers.

We may use Facebook (Meta) advertising tools, including the Facebook Pixel, to display relevant advertisements to you on social media platforms based on your interactions with our website.

  7. Meta (Facebook/Instagram) — social media marketing and advertising; and
  8. Google Analytics — website analytics.

Your personal information may be stored on servers operated by these third parties, including servers located outside Australia. We take reasonable steps to ensure that these providers handle your information in accordance with applicable privacy laws and have appropriate security measures in place.

We will not sell or trade your personal information to third parties for their own marketing purposes.

We may disclose your information to a law enforcement agency if required to do so by law or in relation to suspected unlawful activity.

8. Marketing and Communications

From time to time we may send you information about our services, programs, content, and offers that may be of interest to you. This includes communications via email (through Kajabi and Substack) and social media.

You can opt out of marketing communications at any time by clicking the “unsubscribe” link at the bottom of any email, or by contacting us directly. Once you opt out, we will cease sending you marketing communications, though we may retain your basic details on a “do not contact” list to ensure we do not contact you again.

Opting out of marketing communications does not affect communications that are necessary for the delivery of services you have purchased (e.g. session reminders, booking confirmations).

9. Data Storage, Security, and Retention

Security

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Our security measures include secure storage of electronic files, password protection, and limiting access to personal information to authorised personnel only.

Our website uses Secure Sockets Layer (SSL) encryption for online transactions and data transmission. You can verify a secure connection by looking for “https” in the URL and the lock icon in your browser.

While we take all reasonable precautions, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

Retention

  1. Coaching records (including session notes, recordings, and related correspondence): retained for up to 7 years following completion of the coaching engagement, consistent with professional best practice and Australian tax record-keeping requirements.
  2. Financial and transaction records: retained for up to 7 years as required by Australian tax law.
  3. Marketing and contact data: retained until you unsubscribe or request deletion.
  4. Website analytics data: retained in accordance with the relevant third-party platform’s data retention policies.

When personal information is no longer needed, we will take reasonable steps to securely destroy or de-identify it.

10. Your Rights

Access and Correction
